AI Opportunity Assessment
One call about your business. A plan you can run in four days.
The AI Opportunity Assessment is how KeenHand starts with a Grand Rapids business: a 45-minute discovery call with Aaron Byrne about how your business runs. Then your report: 3–7 specific tools, each with the workflow it replaces and the time it saves, and a 4-day quick-start plan. He walks you through it on a 30-minute review call, within four business days of the first call.
A fixed quote on the call. Never grows mid-engagement.
What the discovery call covers
How your business runs, in your words. Nothing to prepare. Bring the part of the week that eats the most time.
Where the hours go
The work that fills your week, step by step, and who does it now.
What you already pay for
The booking system, the inbox, the phone, the spreadsheet. Many first fixes start inside a tool you already have.
What you would hand off first
The task you would give away tomorrow if someone could do it the way you do.
One number
A count for the top recommendation, taken on the call from your own records and taken again a month later.
How it runs
The discovery call
45 minutes with you, the owner, about how your business runs. Recorded and transcribed, if you say yes when I ask at the start.
The report
I analyze the transcript with Claude and write the report myself. It names 3–7 specific tools for your business and lays out a 4-day quick-start plan.
The review call
Your report, walked through on a 30-minute review call within four business days of the first call. It is in your inbox within the hour, with one revision round if anything needs fixing.
Google Meet by default; in person on request, in Grand Rapids. Keep it to how your business runs, and leave out names and details about your customers or patients.
What you get
- An executive summary of where your time goes and what to do first.
- A priority matrix that places every recommendation by impact and effort, so the order is plain.
- 3–7 tool cards. Each names the tool, the workflow it replaces, the setup (Quick Win, Moderate or Project), the time it saves, what it costs on the report date, and an acceptance test with today's number, the target, and how to check it.
- A 4-day quick-start plan. Day one is the easiest win; on day four, something goes live.
- The financial impact, from your own numbers. The hours saved are priced at what you say an hour of your time is worth, and every figure is labelled an estimate.
- A plain line on affiliate or referral money from any tool named. If there is none, the report says so.
- Next steps. Run it yourself, or take one of the two paid paths below.
If nothing is worth installing, the report says so, and you keep the report.
What the report looks like
A fictional med spa, the real format. Every name and number in it is made up, and the excerpt says so.
Sample, a fictional business
Willow Lane Aesthetics, single-location med spa, Grand Rapids, Michigan
Executive summary
Willow Lane loses its evenings. In the four weeks before the call, 41 inquiries arrived while the shop was closed. None got a reply within 15 minutes and 9 never got one. Five tools close most of that gap, and four of them run on tools Willow Lane already pays for. Together they give the desk about six and a half hours a week back. Start with the missed-call text on day one; the after-hours reply goes live on day four.
Priority matrix
| Tool | Impact | Effort | Where it lands |

| No-show rebooking message from the booking system | Medium | Low | Do first |
| Review request the day after a completed visit | Low | Low | Fit in |
| Monday numbers card drafted by the AI assistant from the booking system's weekly export | Medium | Medium | Fit in |
Three of the 5 tool cards
Missed-call text-back on the business phone line
Replaces: after-hours voicemails that wait until morning for a call back. Time saved: about 1 hour a week.
Cost: a monthly add-on to the phone plan Willow Lane already has, current as of September 18, 2026.
Acceptance test: today, 0 of 8 after-hours voicemails got a reply within 15 minutes. Target: every after-hours missed call gets a text within 2 minutes. Test: compare the texts sent with the missed-call log for two weeks.
After-hours reply drafted by the AI assistant Dana already uses, sent in her approved wording
Replaces: website and Instagram inquiries that sit overnight, then the morning catch-up. Time saved: about 3 hours a week.
Cost: included in the assistant and inbox plans already paid for, current as of September 18, 2026.
Acceptance test: today, 0 of 41 after-hours inquiries answered within 15 minutes. Target: 30 of every 41 answered within 15 minutes, with anything medical held for Dana. Test: the day-30 recount, same three inboxes.
No-show rebooking message from the booking system
Replaces: Jess calling each no-show by hand the next day. Time saved: about 1 hour a week.
Cost: included in the booking system's current plan, current as of September 18, 2026.
Acceptance test: today, 6 no-shows a month, 1 rebooked. Target: 3 of 6 rebooked. Test: the booking system's no-show report at day 30.
The 4-day quick-start plan
| Day | Step | What happens |
|---|---|---|
| 1 | The easiest win | Turn on the missed-call text. Dana writes the two lines it sends. |
| 2 | Inside the booking system | Switch on the no-show rebooking message and the review request. Dana approves both, word for word. |
| 3 | The after-hours rule | Write what the reply answers and what it holds for Dana. Test it on ten inquiries from the baseline count. |
| 4 | Go-live | The after-hours reply goes live on the website form and Instagram. Jess clears the held items each morning, and the count restarts. |
Financial impact: estimates
About 6.5 hours a week back, about 338 hours a year.
Hours saved each week, times 52, times the hourly value Dana gave for desk time. The revenue lever uses her own consultation numbers. The dollar figures stay in the report. Every figure here is an estimate built from Dana's own numbers. None of it is a measured result or a promise. The day-30 recount shows what actually changed.
KeenHand receives no affiliate or referral revenue from any tool in this report.
